Welcome to Soul Haven of Harrogate.

These Terms & Conditions are here to create clarity, mutual understanding and a safe, respectful experience for everyone who enters the Soul Haven space.

By booking an appointment, event, workshop, training, retreat or online offering with Soul Haven, you confirm that you have read, understood and agreed to these Terms & Conditions.

1. About Soul Haven

Within these Terms & Conditions, “Soul Haven”, “we”, “us” and “our” refer to Soul Haven of Harrogate. “You” and “participant” refer to the individual making the booking or taking part in an offering.

 
2. Our Offerings

Soul Haven provides complementary wellbeing, spiritual-development and personal-development experiences. These may include:

  • One-to-one energy healing and mentoring

  • Angelic Soul System sessions

  • Reiki and sound experiences

  • Kundalini Shakti immersions

  • Conscious Connected Breathwork

  • Sacred cacao and Blue Lotus ceremonies

  • Womb, inner-child and ancestral work

  • Workshops, circles and community events

  • Reiki and other practitioner training

  • Day and residential retreats

  • Online sessions, courses, memberships and recordings

The precise content, duration, location and price of each offering will be described on the relevant booking page or provided to you before booking.

 
3. Booking and Payment

Your place is confirmed once the required payment or deposit has been received and confirmation has been issued by Soul Haven.

You are responsible for checking the booking information, including the date, time, location and any preparation requirements.

All prices will be shown in pounds sterling and will state whether any additional costs apply.

Where a deposit is required, the remaining balance must be paid by the deadline stated at the time of booking. We may treat a booking as cancelled if payment is not received by the agreed date, but we will endeavour to contact you before releasing your place.

Any booking made on behalf of another person is subject to these Terms & Conditions. The person making the booking is responsible for ensuring that every participant receives and agrees to them.

 
4. Payment Plans

A payment plan allows the cost of a confirmed booking to be spread over an agreed period. It is not a pay-as-you-attend arrangement.

Payments must be made in full and on the agreed dates. Please contact Soul Haven as soon as possible if you experience difficulty making a payment.

If you cancel after entering a payment plan, the cancellation terms below will apply. Any amount retained or remaining payable will be limited to Soul Haven’s reasonable losses arising from the cancellation, taking into account costs saved and whether your place can be filled by another participant.

 
5. Your Right to Cancel an Online or Distance Booking

Depending on the nature and date of the service, you may have a statutory right to cancel an online, telephone or other distance booking within 14 days of entering into the contract.

Certain leisure, event, retreat and accommodation services arranged for a specific date or period may be exempt from this statutory cancellation period.

If you ask Soul Haven to begin providing a service during an applicable 14-day cancellation period, you may be asked to provide your express consent. If you then cancel after the service has begun, you may be required to pay for the proportion of the service already provided. Once a service has been fully delivered with your express consent, your statutory cancellation right may end.

Nothing in these Terms & Conditions affects your statutory consumer rights.

 
6. Events, Circles and Workshops

If you need to cancel your place:

  • More than 14 days before the event: you may request a refund or transfer to another available date.

  • Between 7 and 14 days before the event: you may request a transfer or Soul Haven credit.

  • Less than 7 days before the event: payments are normally non-refundable, although you may be able to transfer your place to another suitable person with our prior agreement.

  • Non-attendance: refunds or credits will not normally be provided.

Any amount retained will be limited to Soul Haven’s reasonable losses arising from the cancellation, including costs already committed to the event, less any costs saved or income received if your place is filled.

 
7. One-to-One Sessions

At least 48 hours’ notice is required if you wish to cancel or rearrange a one-to-one session.

Sessions cancelled with less than 48 hours’ notice may be charged in full where this reasonably reflects Soul Haven’s loss and the appointment cannot be filled.

Where sufficient notice is given, we will offer an alternative appointment subject to availability.

If you arrive late, your session may still need to finish at the original time so that other appointments are not affected. The full session fee will remain payable.

8. Retreats and Training Programmes

Retreats and training programmes involve significant advance planning and may require Soul Haven to commit to venue, accommodation, catering, facilitator, equipment and material costs.

If you cancel:

  • More than 60 days before the start date: payments may be refunded, less the deposit and any reasonable, non-recoverable costs already incurred specifically for your booking.

  • Between 30 and 60 days before the start date: Soul Haven may retain up to 50% of the booking price where this reasonably reflects the losses caused by your cancellation.

  • Less than 30 days before the start date: payments will normally be non-refundable where Soul Haven cannot recover the resulting costs or fill your place.

If your place is successfully filled, Soul Haven will take this into account and will refund any amount that no longer represents a genuine loss, less reasonable costs already incurred in connection with your booking.

Deposits and cancellation charges are intended to cover reasonable losses and are not intended to operate as a penalty.

Training certificates may be subject to full attendance, completion of required work and payment of all applicable fees.

We strongly recommend appropriate travel and cancellation insurance for retreats, training programmes and other higher-value bookings.

 
9. Transfers and Credits

Where permitted, you may transfer your booking to another suitable person with Soul Haven’s prior written agreement.

The replacement participant must satisfy any age, health, experience or eligibility requirements and agree to these Terms & Conditions.

Credits are valid for 12 months from their date of issue unless otherwise stated. They are subject to availability, cannot normally be exchanged for cash and may not be extended after their expiry date.

A booking may normally be transferred only once.

 
10. Illness, Personal Circumstances and Non-Attendance

Please contact Soul Haven as soon as possible if illness, an emergency or unexpected personal circumstances prevent you from attending.

Refunds are not guaranteed where you are unable to attend because of illness, travel disruption, late arrival or personal circumstances. Where reasonably possible, we may offer a transfer, credit or replacement participant in accordance with the relevant cancellation terms.

We recommend cancellation insurance where the value of the booking or associated travel and accommodation costs would represent a significant loss to you.

 
11. Late Arrival

Please arrive at the time stated in your booking information.

Some sessions involve the creation of a carefully held and uninterrupted space. For the comfort and safety of everyone present, late admission may not be possible once a ceremony, meditation, breathwork practice, energy transmission or training session has begun.

If late admission is not possible, this will normally be treated as non-attendance.

 
12. Changes Made by Soul Haven

Soul Haven may make reasonable changes to a timetable, facilitator, venue, format or content where necessary. We will notify you as soon as reasonably possible.

If a significant change materially alters the experience you booked, you may be offered an alternative date, transfer, credit or appropriate refund.

If Soul Haven cancels an event or service, you will be offered:

  • An alternative date;

  • A credit; or

  • A refund of the amount paid for the cancelled service.

You will not be required to accept a credit instead of a refund where you are legally entitled to a refund.

Soul Haven will not normally be responsible for independently booked travel, accommodation, childcare or other personal expenses, except where such liability cannot legally be excluded. We therefore recommend using flexible bookings and appropriate insurance.

 
13. Circumstances Outside Our Control

Soul Haven will not be responsible for a delay, change or cancellation caused by circumstances genuinely outside our reasonable control. These may include severe weather, natural disaster, venue closure, transport disruption, widespread illness, government restrictions, utility failure or another serious unforeseen event.

Where this happens, we will communicate with you as soon as reasonably possible and seek a fair solution, taking account of the services that can still be provided, costs already incurred and your statutory rights.

 
14. Health and Suitability

Your wellbeing is deeply important to us.

Before participating, you must tell Soul Haven about any health condition, pregnancy, injury, recent surgery, medication or physical or mental-health concern that could affect your safe participation.

Some Soul Haven experiences can be physically or emotionally intense and may not be appropriate for everyone. This can be particularly relevant to breathwork, Kundalini Shakti experiences, sound, cacao, Blue Lotus and deep emotional or energetic practices.

Where reasonably necessary, Soul Haven may:

  • Request further information;

  • Ask you to consult an appropriately qualified healthcare professional;

  • Offer a gentler or alternative practice;

  • Ask you not to participate in a particular element; or

  • Decline or postpone participation where there is a reasonable safety concern.

You are responsible for providing accurate and complete information. If you are uncertain about whether an offering is suitable for you, please seek advice from an appropriately qualified medical or mental-health professional before booking.

Any specific health declaration or participation form provided for an offering will form part of your booking agreement.

 
15. Personal Responsibility and Consent

You remain responsible for listening to your body, respecting your personal boundaries and working within your own limits.

You may pause, modify or withdraw your consent from any optional practice or appropriate physical contact at any time. Please tell the facilitator immediately if you feel unwell, overwhelmed or uncomfortable.

Participation in a group does not require you to disclose personal information or take part in every exercise, although some elements may be required to complete a professional training programme.

Soul Haven will explain the general nature of the experience, but individual physical, emotional or energetic responses cannot be predicted.

 
16. Nature of Our Services

Soul Haven’s offerings are complementary wellbeing, spiritual-development and personal-development practices.

They do not constitute medical treatment, psychological therapy, psychiatric treatment, diagnosis or emergency support. They are not a substitute for assistance from a doctor, qualified mental-health professional or other regulated healthcare practitioner.

You should not stop or change any prescribed treatment or medication because of information received during a Soul Haven offering without consulting the appropriately qualified professional responsible for your care.

No particular physical, emotional, spiritual, financial or personal outcome is promised or guaranteed.

If you are experiencing a medical or mental-health emergency, please contact the appropriate emergency or healthcare service rather than relying upon Soul Haven.

 
17. Participant Conduct

Soul Haven seeks to provide a safe, inclusive and respectful environment.

Participants must behave respectfully towards facilitators, venue staff and other attendees. Harassment, discrimination, threatening behaviour, deliberate disruption, intoxication or conduct that places anyone at risk will not be accepted.

Soul Haven may refuse admission or ask somebody to leave if we reasonably believe their behaviour is unsafe, seriously disruptive or inappropriate. Any refund will depend upon the circumstances and costs incurred.

Participants must follow reasonable safety instructions and any rules imposed by the venue.

 
18. Alcohol and Non-Prescribed Substances

Please do not attend a session, event, training or retreat while under the influence of alcohol or non-prescribed substances.

Soul Haven may refuse participation where there is a reasonable concern about your safety or the safety and experience of others. A refund will not normally be provided in these circumstances.

 
19. Accommodation, Dietary and Accessibility Requirements

For residential retreats, you are responsible for reading the accommodation details and informing us before booking of any accessibility, mobility, allergy or dietary requirements.

We will make reasonable efforts to accommodate requirements disclosed in advance but cannot guarantee that every request can be met. Food allergies and medically necessary dietary requirements must be clearly communicated within the timescale specified for the event.

Room allocations may be subject to venue availability and the option purchased.

You are responsible for any loss or damage you deliberately or negligently cause to a venue, accommodation or equipment.

 
20. Participants Under 18

Unless an offering is specifically advertised as suitable for children or young people, participants must be aged 18 or over.

Anyone under 18 may participate only where Soul Haven has agreed in advance and the necessary consent has been provided by a parent or legal guardian. Additional safeguarding arrangements may apply.

 
21. Photography, Video and Recording

Soul Haven will seek appropriate consent before taking or using identifiable photographs, video or audio recordings of participants for promotional purposes.

You may decline promotional photography or recording without this affecting your ability to participate.

Participants must not photograph, film or record another person without their clear permission. Recording private sharing, teaching materials, ceremonies or other participants may be prohibited to protect confidentiality and intellectual property.

Separate arrangements may apply to online sessions that are intentionally recorded for replay. These arrangements will be explained before recording begins.

 
22. Confidentiality

Personal experiences shared within one-to-one or group spaces should be treated with care and respect.

Soul Haven will respect your confidentiality, subject to legal obligations and circumstances in which there is a serious safeguarding concern or risk of harm.

Although participants will be asked to respect one another’s privacy, Soul Haven cannot absolutely guarantee the actions of every individual attending a group experience.

 
23. Intellectual Property

All course materials, manuals, recordings, meditations, written content, frameworks and original practices supplied by Soul Haven—including materials relating to the Angelic Soul System—remain the intellectual property of Soul Haven or the identified rights holder.

Materials are provided for your personal use or, where expressly stated, for use within the scope of the qualification or licence awarded.

You must not copy, reproduce, teach, sell, distribute, publish, record or commercially use these materials without prior written permission.

 
24. Personal Belongings

Please take reasonable care of your personal belongings. Soul Haven will not be responsible for loss, theft or damage unless caused by our failure to take reasonable care.

You are encouraged to leave valuable or irreplaceable items at home.

 
25. Our Responsibility to You

Soul Haven will provide its services with reasonable care and skill.

We will not be responsible for losses that were not reasonably foreseeable when your booking was made or for losses arising from inaccurate or incomplete information provided by you.

Where you book as a consumer, Soul Haven is not responsible for business losses, including loss of profit, revenue or business opportunity.

Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or your statutory consumer rights.

 
26. Privacy and Personal Information

Soul Haven will handle your personal information in accordance with applicable data-protection law and our Privacy Policy.

Health and wellbeing information will be requested only where reasonably necessary to assess suitability, support safe participation or fulfil our legal obligations.

Please read our separate Privacy Policy for information about how your information is collected, stored, used and protected.

 
27. Complaints

If you have a concern about your booking or experience, please contact us as soon as possible so that we have the opportunity to understand and address it.

We aim to acknowledge complaints within [five] working days and provide a full response within [14] working days where reasonably possible.

Nothing in this section prevents you from exercising your statutory rights or obtaining independent consumer advice.

 
28. Updates to These Terms

Soul Haven may update these Terms & Conditions from time to time.

The terms applying to your booking will normally be those made available to you when the booking was confirmed, unless a change is required by law or you expressly agree otherwise.

 
29. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

If you are a consumer, you may bring legal proceedings in the courts applicable to your place of residence where consumer law permits.

30. Statutory Rights

Nothing in these Terms & Conditions affects your statutory consumer rights.
